Job Description

The Wireless Infrastructure Association WIA is the leading industry association advocating for the deployment of broadband and the expansion of wireless connectivity to every community. The Association’s annual event, Connect (X), is the connectivity industry’s premier trade show for broadband infrastructure providers and suppliers.

WIA is seeking a Coordinator, Meetings and Events to help continue to grow the event and to help the Association meet its event offering potential. Successful candidates will be able to improve strategy, create process, and execute programs to help drive the expansion of the event. Responsibilities

  • Work closely with Director of Meetings and Events, and Manager of Meetings and Events, to accomplish sponsorship, exhibition, speaker, and attendee goals.
  • Help plan, coordinate, and execute assigned conferences/meetings/events with guidance provided by Director.
  • Registration lead for Connect (X) and all smaller WIA events.
  • Responsible for registration set-up, processing, on-site registration management, registration layout, and lead contact with on-site registration vendor.
  • Responsible for hiring, scheduling, and managing onsite temporary support staff.
  • Manage event mobile app.
  • Assist the Manager of Meetings and Events with managing and onboarding the exhibitor, sponsor, and speaker portals.
  • Oversee customer service with special detail to exhibit and sponsorship registration.
  • Complete post-conference administrative and financial actions and reporting, formatting and posting of proceedings, and other administrative and logistics actions required to ensure a successful event.
  • In charge of ordering promotional items for WIA events including but not limited to registration bags, lanyards, hotel key cards, event swag.
  • Oversee office needs such as managing shipments and ordering event supplies.
  • Produce attendance data, name badges, rosters, and financial reports for assigned meetings.
  • Participate in site visits as directed.
  • Perform on-site management of assigned events to include registration, attendee/customer service fulfillment, food and beverage service delivery, audio-visual services delivery, security, local transportation, etc., and interface between venue support staff.
  • Coordinate and follow-up with vendors, speakers, sponsors, exhibitors, and members as needed on details of assigned meetings.
  • Other duties include additional general support and coordinating functions as required by the Director, demonstrating, and promoting teamwork and cooperation within and across teams.
  • Secure entertainment for special events as required.
  • Proactively communicate weekly updates and pertinent information.

Secondary Responsibilities

  • Work on special projects and other duties as assigned helping to promote department’s success.
  • Assist with internal events and association staff participation in outside events – as needed.

Qualifications

  • Bachelor’s degree.
  • Minimum of 1-3 years of experience in event/conference planning.
  • Previous Association and event experience desired.
  • Experience with Cvent/registration platforms preferred.
  • Exceptional communication and analytical skills with the ability to write strategically and creatively in a clear and concise manner under tight deadlines.
  • Well-developed sense of customer/client service; builds strong business and stakeholder relationships.
  • Showcases strong problem-solving skills, presenting solutions, presents new ideas and thoughts to build business.
  • Detail-oriented with ability to set priorities and handle multiple projects and deadlines.
  • Strong proficiency with Microsoft Office Suite and email marketing software.
  • Travel requirements for this position may be up to 25%.
