The Staff Coordinator works closely with the executive team to coordinate projects across all departments within the organization, while also providing administrative support to the President and CEO and Executive Vice President (EVP) of the association. This position will report to the President and CEO and EVP of the association.

Responsibilities

  • Maintain and organize calendar for the CEO and EVP
  • Coordinate event and travel arrangements for CEO and EVP
  • Interact with Board of Directors to coordinate a variety of executive meetings
  • Coordinate with internal staff to ensure the CEO is prepared for the scheduled meetings
  • Work closely with EVP and across multiple departments to execute a wide variety of administrative and substantive tasks
  • Conduct research, draft and edits written reports, and assist with the development of materials for presentations, meetings, and projects
  • Prepare and tracks CEO’s travel and expense and time reports
  • Attend meetings, speaking engagements and symposia, taking minutes, notes, and managing follow-up, as assigned
  • Assist in the preparation and monitoring of various contractual commitments associated with consultant/contractor support and, including assisting in the implementation and process of the Request for Proposal (RFP) and task orders.

 

Qualifications

  • Bachelor’s degree required
  • Five years of increasing professional level responsibility in executive support or related field preferred
  • Previous association experience is desirable
  • Exceptional organizational and project management skills
  • Exceptional writing and analytical skills with the ability to write both strategically and creatively under tight deadlines
  • Ability to work as part of a team and to work independently; a self-initiator, versatile and assumes risk with responsibility
  • Ability to partner with the President/CEO and EVP to understand nuances, appropriate protocol, and specific preferences of the executives, and execute on the level of support required/expected
  • Strong interpersonal skills required to persuade and build consensus and cooperation.
  • Professional disposition and demeanor
  • Strong proficiency with Microsoft Office Suite
  • Must work in Arlington, VA office
